Verification and validation of observations

 

Observations uploaded to the ORCHISAUVAGE website all go through a verification process to ensure they are correct. This verification and validation stage is important work done by a data validation committee. Within the framework of this procedure, any owner of data entered in the website could be contacted by the committee. If you are contacted, please ensure you communicate with members of the committee to complete this process. Their objective is to guarantee the quality of your observation, orchid security, and consequently the quality of the ORCHISAUVAGE website.

 

Constitution of the validation committee

The goal of the validation committee is to guarantee the quality of the observations transmitted in ORCHISAUVAGE, as mentioned in article 4 from “Terms of Use” of the website. Members are selected by the technical committee, both for their knowledge of orchids and for their ability to moderate relationships with data owners.

The validation committee has competence on all the orchid species, and includes experts in all genera and in biogeographical areas. The number of members is not limited, since the size of the committee may vary with time and according to the expertise needed. Members of the validation committee will not exceed 20 people at any one time to help it function well and smoothly. You can view the list of validation committee members on the website in the menu “Informations/Access rights”. The validation committee is closely associated with orchid cartographers from the French Orchid Society, whose members may be consulted for a specific expertise.

 

Validation process

The role of the validation committee members is to regularly check all observations entered in the ORCHISAUVAGE website to detect any possible mistakes. Members have permanent access to the data, with special rights to consult the data and to communicate with the other members of the validation committee and the data owners. The procedure does not have any constraints in time, so may take place much later than data entry.

If an observation needs verification, a member of the validation committee will contact the data owner by email to discuss the observation.

You can see when an entry is being verified on the website by the presence of a symbol ( or ), at the beginning of the observation record.

This symbol is used when an entry is incomplete, or is worth of more information (count of a rare species, stage of flowering). It is only visible to the author and to the validation committee;

This symbol is used in the exceptional situation where the record is highly suspicious and can not be confirmed. In that situation, the observation will not be displayed anymore on the site but remains in the observer's records, being only visible to the author and to the validation committee.

Depending on exchanges with the data owner, the observation could be validated (in this case the symbol will be suppressed) or not (in which case the symbol will be maintained). With respect for the data owner, the unvalidated data will not be suppressed, but will remain labeled as unvalidated (and will not be taken into account for global data analysis).

During communications between the owner and the committee, the observation remains on the website with the symbol attached, indicating that its identification depends on the data owner and that it will not be used for analysis.

Note to observers:  if you notice that one of your data entries is under verification but have not received email from the validation committee, this indicates that a discussion is in progress. Your data could be confirmed without any contact with you.

 The validation committee may temporarily hide a data entry if it concerns an endangered orchid species, while awaiting a reply from the data owner.

To ensure transparency for the data owners, the names of the validation committee members as well as their spheres of action are listed on the ORCHISAUVAGE website.
